Ask for Compliance Evidence by Exact Product Model
A logo or family-level statement does not prove that every construction is covered. Evidence should be matched to the exact quoted product, material, factory, revision, and intended market.

Start with a document matrix
List each BOQ line, quoted model, product family, construction, destination market, requested standard, document type, responsible party, status, revision, and expiry where applicable.
Mark whether the document is mandatory for legal access, a project submittal, a customer preference, or internal quality evidence. This prevents different requirements from being treated as interchangeable.

Understand what each document proves
A certificate, supplier declaration, third-party test report, factory test record, inspection report, and management-system document answer different questions. Record the issuer, test laboratory, applicant, manufacturer, production site, product scope, and referenced standard.
Check model names, variants, materials, dimensions, ratings, and photos against the quoted construction. A similar family name is not enough when the tested design differs.
Check revision, scope, and claims
Confirm the standard edition, report date, certificate status, covered factories, model list, annexes, limitations, and any surveillance requirement. If an online verification portal exists, use the official record.
Only publish certification marks or compliance claims that the exact product and supply arrangement may use. Artwork should not be approved before the claim and marking basis are confirmed.

Close gaps through the quotation and sample plan
If evidence is missing, decide whether to select a covered model, request additional testing, change the specification, accept another form of evidence, or stop the item. Record the decision and commercial impact.
Link the final document matrix to the approved sample, production specification, inspection plan, shipping documents, and handover pack. Re-check the matrix when a construction or supplier changes.
